We would like to announce our 2023-2023 Academic Year Erasmus+ Traineeship Candidates. The reason why we call students who are on the list candidates is because of the deadline for the acceptance letter. The WINNERS LIST will be announced later on.

**We advise our students to read this announcement text carefully. As the office, we do not accept any responsibility if you do not read the text correctly. **

WINNERS LIST:

After the given deadline (28.04.2023 16:00), the winners list will be made and announced. The updated deadline date is given under the information for the acceptance letter.

The final list will be announced after the deadline because if a student is on the green list but did not upload the acceptance letter until the deadline, that student will not be able to continue and be on the final list.

Note: If you are colored red, this means that your application process will not continue due to invalid or missing documents.

INFORMATION ABOUT MAKING AN OBJECTION TO THE ERASMUS+ SCORE AND APPLICATION:

If you are on the red list, we give our students 3 days to make an objection to their result.

**You will have time to do your objection until 24.04.2023 13:00.**

Objections made after the deadline will not be accepted to consider and all of our students need to aware that doing an objection does not guarantee a change will happen, there will be only a control of the evaluation.

You can mail your objections for the related topic to bauexchange@int.bau.edu.tr. And our students should not mail to outgoing@int.bau.edu.tr or the coordinators’ mail addresses because if you do, then they will not be responded to.

**Sending objection after given deadline (24.04.2023 13:00) will not be responded**

IMPORTANT ABOUT STARTING TO DOCUMENT PROCESS:

Students should wait for the final list in order to start their document process for Erasmus+ Traineeship Program. Students should not do any documents until final list announces and if they do BAU Exchange Office is not responsible for it.

**For example, students who do not wait the final list and start to do their learning agreements after this announcement, will not be accepted. **

The final list must be made in order to finalize who will be the winner for Erasmus+ Traineeship Program.

**Students who will do any document for Erasmus+ Traineeship will not be accepted by our office because as we mentioned above, you need to wait for the winners list that will be announced after 28.04.2022 12:00. There can be change in the number of students after this deadline due to not having a valid acceptance letter. **

INFORMATION ABOUT GRANT:

In addition, our students should be aware that this candidate list does not mean that you have earned a grant.

Each year, the grant amounts are determined after the agreement is signed between the European Commission and the National Agency. After that The Turkish National Agency signs grant agreements with universities.

We state that the process may take longer, and we would like to remind you that due to this situation, our winner students CAN BE EVALUATED WITH OR WITHOUT A GRANT.

*These results are only the results of placement, the grant results will be announced after the grants are transferred to our university. Erasmus+ Office is not responsible for the financial transactions you will carry out before the granting process.*

In light of this information, we would like to remind our students who have mobility activities for the Summer that the grants may arrive late and should be prepared.

IMPORTANT INFORMATION ABOUT THE DEADLINE FOR ACCEPTANCE LETTER:

The deadline for uploading the acceptance letter to the Application Portal was 14th of April but we are going to update it again on behalf of our students and change the deadline to 28.04.2023 16:00.

**Uploading the document after the deadline will not be accepted to consider and so we advise you to be careful about the deadline. **

Students who need to upload the acceptance letter to the system until the deadline are:

• Students who are winners but have no acceptance letter.
• Students who uploaded their acceptance letter in the wrong format, such as mail conversations. Uploading a screenshot of your communication with the responsible person from a European company/institution is not valid. Even if they mention that they accept you, we explained that you should get a proper acceptance letter to use it for the Application Portal. In addition, we prepared a draft acceptance letter for all of you to use and share.
• Students who uploaded their acceptance letter about getting an acceptance to the BAU. This document means that you are accepted to study at our university, which is not related to Erasmus+.
• Students who got the acceptance letter for places and positions that are not related to their program.

The following organizations are not eligible for higher education internship activity under Erasmus+:

– European Union institutions and EU agencies (see https://europa.eu/european-union/about eu/institutions-bodies_en )

– National Agency carrying out EU programs etc. organizations.

IMPORTANT NOTE ABOUT DEADLINE:

**If students who do not upload an acceptance letter to the Application Portal by 28.04.2023 12:00, they will be removed from the list, which means that they can not continue to be a part of the Erasmus+ Traineeship Program.**

IMPORTANT:

**If you are a student who uploaded a document for an acceptance letter and do not see the extra 10 points in the explanation part of the Excel document, this means that the office did not accept your document, and that’s why you did not earn the right to have +10 points. **

ABOUT THE APPLICATION:

As you know, our application process started on 23th January 2023 (17:30) and finished on 10th March 2023 (17:30). 

Documents that were mandatory to be uploaded to the Application Portal were: Application Form, Transcript and Acceptance Letter.  You can now only upload the acceptance letter to the portal.

**Students were responsible for uploading the right document to the system correctly in the given time. **

**All the necessary information about how the documents should be uploaded was announced by our office to all students via mail and our website. **

ABOUT APPLICATION PORTAL:

Students are going to apply through Application Portal which is the new system that was chosen by the government.

Application Portal (Başvuru Portalı) is provided under the name of Presidency of the Republic of Turkey. The use of this new system by all universities in Turkey has been made mandatory for us by our institution called the Turkish National Agency, which carries out Erasmus+ mobilities in Turkey on behalf of our country.

Students need to enter the system via the link below with their “e-government” (e-devlet) information and password in order to apply for the for the Erasmus+ Traineeship Program. 

You should be aware that the Application Portal (Başvuru Portalı) is new and constantly updated. The system is under the control of National Agency and BAU Exchange Office has no control over it.

We try to support our students technically as much as we can about the problems experienced or to be experienced, but since the system is new, we are also in the process of getting used as an office. We are in contact with the Turkish National Agency about the problems or deficiencies experienced during the application.
